Service Number Reporting
Monthly service reporting is a requirement upheld by Food Bank of Central New York as it pertains to the state and federal government. It is imperative that partner agencies keep accurate records of individuals served. Monthly reporting determines program efficiency and verifies agency activity. This data is also a powerful tool for educating donors, policymakers, and the general public about hunger in central and northern New York. Demonstrating the need for services allows the Food Bank to effectively advocate for support.
Food Bank of Central New York partner agencies that receive grants or free USDA commodity foods are required to report monthly service numbers to the Food Bank. This information must be submitted by the 10th of each month for the prior month's service (example: total service numbers for the month of December are due by January 10th). Partner agencies that fail to submit service numbers by the 10th may have their eligibility for these resources suspended or revoked. If your agency did not distribute food for the month, you must report “0” for each category.
Agencies are required to submit monthly totals for:
- Number of households served (food pantries and Fresh Foods partner agencies only)
- Children served (ages 0-17 years)
- Adults served (ages 18-64 years)
- Seniors served (ages 65+ years)
To report your monthly service numbers, please use the Monthly Service Report Form.
If you need to submit or correct a monthly service report for the July 1, 2018 - June 30, 2019 fiscal year, please contact our Agency Relations Department at (315) 437-1899 ext. 256.
Monthly Service Reporting FAQ
Holiday Basket Reporting:
For pantries that distribute holiday baskets to clients, if your basket is equal in amount and nutrition to a normal pantry package for clients, count as you would a normal distribution by adding the holiday basket counts to your normal monthly report.
